Job Announcement:  Program Coordinator

 


Position Summary


The Program Coordinator supports the Learning Team, with an emphasis on managing related technology and logistics. The Learning Team works to ensure that Washington Nonprofits hosts a robust calendar of quality learning events and maintains and expands a strong network of partners and expert trainers. Specific responsibilities include the setup of online event registration, preparation of promotional communications, and management of event logistics for a large volume of educational events (online and in-person). When we are able to return to in-person events, the Program Coordinator will travel occasionally throughout Washington to host events. This position may work out of the Seattle office or remotely from anywhere in Washington State.

 


Key Responsibilities


1. Technology & data management

  • Use project management software to track tasks for learning events and other projects.
  • Create necessary lists, systems, and reports in database to support the learning program.
  • Set up and manage online event registration.
  • Post learning events on website.
  • Handle Zoom and location logistics for a large volume of events (online and in-person).
  • Maintain learning program records including a schedule of all events across the organization, attendance, evaluation, and financial reporting.
  • Work with Learning Team and other staff members to ensure learning milestones are met and necessary data is collected for reporting to funders.


2. Support learning program

  • Create and manage contracts for events such as speaker agreements, venue and vendor contracts, etc.
  • Assist with preparing materials for learning events, webinars, and trainings.
  • Based on need, serve as host, moderator, and/or facilitator of learning events, webinars, and trainings including in-person events.
  • Assist with refreshing curriculum to maintain relevance, accuracy, and effectiveness.
  • Help implement an evaluation system to ensure that all events are evaluated for effectiveness and continuous improvement.
  • Support annual conference production, including taking the lead on coordinating specific elements as assigned.


3. Communications & relationship management

  • Manage learning event-related communications including coordination of event promotions by email and social media.
  • Contribute to WN’s overall communications strategy and consistent branding through writing, public speaking, and reviewing the work of other staff members.
  • Provide high quality customer service for learning participants, presenters, partners, and funders in Washington State and across the country.
  • Nurture key learning partnerships as directed.


4. Contribute to a strong organization

  • Contribute to the visibility of the organization by representing Washington Nonprofits at events.
  • Bring ideas from events, meetings, etc. back to the organization to contribute to our ongoing effort to understand and support nonprofits in Washington.
  • Work on special projects and participate in key events such as the annual conference.
  • Promote Washington Nonprofits membership.
  • Support Washington Nonprofits’ advocacy work.


Desired Qualifications

  • Commitment to Washington Nonprofits’ mission.
  • Demonstrated commitment to racial equity.
  • Proficiency in Office Suite (Word, Excel, PowerPoint, Outlook), event management software (ie: Whova, Soapbox), website content management systems (ie: WordPress), survey tools (ie: Survey Monkey) and Zoom. Equivalent transferrable skills from other systems are welcome.
  • Familiarity with CRM databases (ie: Salesforce), email engagement platforms (ie: MailChimp), and project management software (ie: Asana) is desired.
  • Experience working in the nonprofit sector is preferred.
  • Ability to handle multiple tasks, projects, and priorities effectively and professionally.
  • Effective and flexible communication skills.
  • Excellent customer service skills.
  • Ability to travel within state.
  • Room setup involving moving tables and chairs and some moderate lifting (up to 25 pounds) on an occasional basis (accommodation may be possible).


Additional Information

Location: Seattle office (telecommuting available) or remote from another location in Washington. Some travel required, primarily within Washington State.

FLSA Classification: Full-time, Non-exempt

Compensation: $48,000-$51,000 [+$2,500 for bilingual Spanish fluency]. Benefits include paid time off and health insurance.
