DATE OF DESCRIPTION: November 18, 2019

Somali Health Board (SHB) is an organization comprised of Somali health professionals in collaboration with community leaders, the health systems and service providers in order to promote positive health outcomes to the Somali population within King County.

POSITION SUMMARY: This position will focus on providing general office support, performing clerical duties, and assisting with administrative projects as needed.

DUTIES AND RESPONSIBILITIES:
  • Serve as the SHB front desk & receptionist
    • Greet and welcome clients and visitors to the office
    • Answer calls and answer questions or transfer to appropriate parties
  • Participate in planning and organizing meetings, workshops and other related training.
    • Provide logistical support for meetings and events, including food ordering, room set-up, note-taking, calendar maintenance, etc.
    • Prepare copies, labels, nametags, packets, folders, and other materials as needed for internal meetings
  • Maintain an organized, clean office space; order office supplies and other necessary expenses
  • Assist in the maintenance of an organized electronic filing system
  • Collect, sort, scan and organize mail, stamp and take outgoing mail to building mailbox;
  • Work collaboratively with Program staff to assist in the implementation of SHB programs;
    • Collect and review all financial expenses and ensure proper documents are there (credit card requests, checking withdraws, etc)
    • Assist in preparing check request forms, reconcile credit card request, and other financial documents
    • Support with space reservations, material preparation, equipment needs and set-up;
    • Support in the registering of clients for upcoming events and trainings; send reminders to clients before workshops and classes;
  • Maintain organized filing system for client materials including filing of program materials, applications, intake forms, etc. and archiving client files on an annual basis;
  • Perform other duties as assigned
 
EXPERIENCE, QUALIFICATIONS AND SKILLS
  • Strong logistics and coordination skills and expertise
  • Demonstrated ability to manage time effectively and meet deadlines
  • Demonstrated ability to be a team player and collaborator with a sense of independency
  • Excellent organizational skills, with high degree of attention to detail
  • Demonstrated ability to protect the reputation and integrity of others through strict confidentiality
  • Demonstrated ability to maintain high level of organization to meet high volume workload demands
  • Knowledge of, or a strong desire to learn about, nonprofit operations
  • Proficiency in the use of personal computers, with working knowledge of MS Office Apps, G Suites
  • Strong interpersonal skills and demonstrated ability to work and communicate effectively and respectfully with people of diverse cultural, ethnic and socioeconomic groups.

COMPENSATION AND BENEFITS: This position is a 0.8 FTE with possibility of extending to a full time. An estimated salary range of $20.00 - $23.00 hourly. SHB covers 80% of Medical and Dental Insurance with generous PTO.
 
WORK SCHEDULE AND LOCATION: This position will primarily work Monday to Friday at SHB Office in Tukwila. This position may require flexibility to accommodate different work schedule.

PHYSICAL DEMANDS/WORKING CONDITIONS
The employee must be able to operate a computer and other office equipment, speak and listen on the telephone, and accurately see and interpret columns of numbers.
